Pipeline Management
The Pipeline is a visual Kanban board that helps you track where every lead is in your sales cycle. It offers a perfect blend of manual, drag-and-drop control and powerful, event-driven automation.
The Kanban Interface
By default, the pipeline groups your leads into columns based on their current stage. Each card represents a lead, displaying their contact information, pipeline deal value, and their "Score" (e.g., Hot, Warm, Cold).
Manual Drag & Drop
If you are manually working a lead, you can utilize the simple drag-and-drop interface:
- Click and hold on a lead card.
- Drag it across the board to the appropriate column.
- Drop the card to update the lead's status instantly.
When a lead is moved, the backend engine automatically logs a Status Changed event in that lead's Activity Timeline, ensuring your team has a perfect audit trail.
Customizing Your Stages
You are not locked into our default pipeline stages. The columns in the pipeline map directly to your tenant's custom Lead Statuses. You can add, rename, reorder, or delete stages in your Settings to ensure the Kanban board perfectly matches your unique sales process.
The Auto-Transition Engine
While you can manually drag and drop leads, you don't always have to. Magnate features a powerful event-driven automation engine that can completely automate your sales funnel.
In your Settings, you can create Pipeline Rules. These rules listen for background system events and automatically advance leads to new stages without you lifting a finger.
Supported trigger events include:
- Message Received: (e.g., A lead replies to an email/SMS)
- Appointment Booked: (e.g., A lead schedules a meeting on your calendar)
- Appointment No-Show: (e.g., A lead fails to attend a booked meeting)
- Conversation Escalated: (e.g., The AI assistant hands the lead over to a human)
- Cadence Completed: (e.g., A lead finishes an automated sequence without replying)
Example Workflow: You could create a Pipeline Rule that states: "If a lead is currently in the 'Cold' stage, and the system detects a 'Message Received' event, automatically transition them to the 'Engaged' stage."
Automated Pipeline Actions
When the Auto-Transition engine fires and moves a lead to a new stage, it can also execute secondary actions simultaneously.
Auto-Cadence Enrollment
You can configure a Pipeline Rule to not only change the lead's status, but also instantly enroll them into a specific Cadence.
Example: If an "Appointment No-Show" event triggers, the engine can move the lead to a "Missed Meeting" pipeline stage, and instantly drop them into a "Rescheduling Cadence" that sends automated SMS follow-ups all entirely hands-free.
